Freelance Developer & Designer Tax Deductions
Freelance technical work has fewer categories than a trade business but larger individual items: hardware, cloud services, and software subscriptions that quietly total thousands a year.
Deduction checklist
| Expense | Schedule C line | What to keep in mind |
|---|---|---|
| Laptop, monitors, peripherals | Line 13 — Depreciation (or Section 179) | Business-use share only if also used personally. |
| Cloud hosting and developer services | Line 18 — Office expense | Recurring infrastructure costs. |
| Design and IDE subscriptions | Line 18 — Office expense | Includes font and asset licences. |
| Internet (business share) | Line 25 — Utilities | Deduct the business percentage. |
| Subcontracted developers and designers | Line 11 — Contract labor | Issue 1099s where required. |
| Professional fees (accountant, lawyer) | Line 17 — Legal and professional services | Business advice only. |
| Conferences and training | Line 24a / Line 27a | Travel and registration for business-related events. |
| Payment processing and platform fees | Line 27a — Other expenses | Marketplace and invoicing fees. |
Home office, done properly
A dedicated room or clearly defined space used regularly and exclusively for work may support a home-office deduction, claimed on its own form. A kitchen table used for everything does not qualify. Measure the space and keep the calculation.
Subscriptions are the quiet leak
Recurring charges rarely produce a paper receipt, so they are the easiest deductions to miss entirely. Capture the monthly email or statement line once and categorise it, and a year of subscriptions stops being invisible.
What the IRS expects you to keep
For every expense you deduct, you need to be able to show the date, the amount, who you paid, and the business purpose. For travel, meals, and vehicle use the rules are stricter — those are 'listed' expenses where a bank statement alone is not considered adequate proof.
- A dated receipt or invoice showing the vendor and amount.
- A short note on why the expense was for the business.
- For mileage: date, starting point, destination, purpose, and miles driven.
- Records kept for at least three years after you file (six if income was significantly under-reported).
DocuSpending stores the original photo alongside the extracted date, vendor, total, tax, and category — so every number on your return traces back to a document you can show.
Common questions
- Can I deduct a computer I also game on?
- Only the business-use share, based on an honest estimate you can explain.
- Are online courses deductible?
- Courses that maintain or improve skills for your current business generally are; training to enter a new profession generally is not.
- What about coworking memberships?
- Yes — deductible as rent or other business expense.
