IRS Receipt Rules in 2026: What You Actually Need to Keep
What the IRS actually requires for receipts, what they don't, and the simple digital system that satisfies an auditor without filling a filing cabinet.
Most freelancers and small-business owners are way more anxious about IRS receipt rules than they need to be — and a few are way too relaxed about them. The actual rules are simpler than you'd think.
What the IRS technically requires
For any business expense you deduct, the IRS expects you to be able to substantiate four things: the amount, the time and place, the business purpose, and (for travel/meals) the people involved.
- Amount — the dollar total.
- Time and place — the date and the vendor or location.
- Business purpose — why this expense was for your business.
- Business relationship — for client meals, who was there and why.
When you actually need a receipt
The IRS only strictly requires a receipt for expenses of $75 or more (with the exception of lodging, where receipts are always required). For purchases under $75, a written log or credit-card statement entry that captures the four facts above is enough.
Practical advice: just keep a receipt for everything. Storage is free, and a $74 lunch becomes a $76 lunch when the bill arrives — and now you wish you had it.
Digital receipts are 100% acceptable
Since 1997 (Rev. Proc. 97-22), the IRS has accepted digital images of receipts as long as they are accurate, legible, and accessible. A photo on your phone or a PDF in cloud storage counts.
How long to keep them
- Standard returns — 3 years from the filing date.
- Substantial under-reporting (more than 25% of income) — 6 years.
- Fraud or unfiled returns — indefinitely.
- Property and equipment — keep receipts for the life of the asset plus 3 years after disposal.
The minimum-effort system that works
- Photograph every business receipt the day you get it.
- Make sure each captured receipt has the four IRS facts (amount, date, vendor, business purpose).
- Store everything in cloud storage that you'll still have access to in 7 years.
- Export a categorized CSV at year end and hand it to your accountant.
That's it. No shoebox, no spreadsheet rebuild in March, no audit panic.
